This position will be based in either our Halifax or Moncton office. You will report to the Managing Director and Chief Operating Officer in Halifax. We are currently seeking a Documentation Specialist with a strong background in commercial real estate to support our Halifax, Moncton, Saint John, St. John’s and Prince Edward Island based Commercial Real Estate sales professionals.
As a Documentation Specialist, you will play a crucial role in managing and organizing documentation related to commercial real estate transactions. You will work closely with our real estate professionals to ensure compliance, accuracy, and efficiency in all documentation processes in accordance with the provincial Real Estate Commissions and regulatory boards. In this role you are responsible for developing, assisting and reviewing a variety of leases, contracts and agreements for the sales professionals.
Responsibilities
- Draft, review, and finalize various legal and transactional documents, including leases, purchase
agreements, contracts, and amendments, ensuring compliance with relevant laws and regulations. - Collaborate with Real Estate Commissions, regulatory boards, and real estate professionals to ensure all
documentation meets regulatory requirements and company standards. - Maintain organized records and files, both physical and electronic, for easy retrieval and reference.
Implement and uphold best practices in documentation procedures to enhance accuracy and minimize
errors. Regularly audit documentation processes and recommend improvements. - Conduct thorough research and analysis to support documentation processes.
- Assist in the development and implementation of documentation procedures and best practices.
- Provide general administrative support to the real estate team, including scheduling meetings, managing
correspondence, and preparing reports as needed. - Various administrative responsibilities, information requests and special projects as assigned
Required Skills & Knowledge
- Post-secondary degree or diploma in business or related discipline including legal studies.
- Experience in commercial real estate, with a strong understanding of real estate documentation and
processes. - Preference given to candidates with an active Real Estate license.
- Paralegal certification is considered an asset.
- Strong written and verbal communication skills.
- Exceptional interpersonal and communications skills.
- Proficient in Microsoft Office Suite and real estate software applications. Experience with FINTRAC would
be considered an asset. - Ability to stay motivated, take initiative and be effective while working with minimal supervision.
- Strong problem-solving skills and work ethic.
